TriNite Partners ("TriNite", "we", "us", or "our") provides HR, people, and technology consulting services to businesses across the Greater Toronto Area and beyond. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit trinitepartners.com (the "Site") or engage us for consulting services (the "Services"), and outlines the choices available to you.
1. Definitions
- "Personal Information" means any information that identifies, or could reasonably be used to identify, an individual.
- "Client" means a business or organization that engages TriNite for consulting Services.
- "Site Visitor" means anyone browsing trinitepartners.com, whether or not they are a Client.
- "Service Provider" means a third party that processes information on our behalf (for example, our website host, form-submission provider, or scheduling tool).
2. Information We Collect
From Site Visitors
- Contact details submitted through our forms or booking tools — name, email address, phone number, company name, and the content of your message.
- Basic technical data collected automatically by our hosting provider (browser type, approximate location, pages visited) for the sole purpose of keeping the Site running securely.
From Clients
- Business information necessary to scope and deliver an engagement — organizational structure, policies, employee counts, and similar operational details.
- Any Personal Information a Client shares with us in the course of an engagement, which may include information about the Client's own employees or candidates (see Section 4 below).
3. How We Use Your Information
- To respond to inquiries and schedule consultations.
- To scope, deliver, and invoice consulting Services under a signed engagement or proposal.
- To send occasional updates about our Services, only where you have agreed to receive them, and always with an easy way to opt out.
- To maintain the security and proper functioning of the Site.
4. HR Client & Candidate Data
Because we provide HR consulting, we may be given access to a Client's own employee or candidate data — for example, during a policy review, compensation project, or talent acquisition engagement. In these cases:
- We treat that data as confidential and process it strictly for the purpose of the engagement, under the terms of the applicable service agreement with the Client.
- We do not use a Client's employee or candidate data for our own marketing purposes, and we do not sell it.
- Where a specific engagement requires additional privacy commitments (for example, a data processing addendum), those terms take precedence over this general Policy for that engagement.
5. Cookies & Tracking
The Site may use basic, essential cookies to keep forms and booking tools functioning correctly. We do not currently use advertising or cross-site tracking cookies. If this changes, we will update this Policy accordingly.
6. How We Share Information
- Service Providers: we may share information with trusted providers who help us run the Site or deliver Services (for example, our web hosting or form-submission provider), bound by confidentiality obligations.
- Legal requirements: we may disclose information where required by law or to protect our legal rights.
- Business transfers: if TriNite is ever involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, with notice provided to affected Clients where required.
- We do not sell Personal Information to third parties.
7. Retention
We retain Personal Information only as long as necessary for the purposes described in this Policy, to fulfill a signed engagement, or to meet legal, accounting, or contractual obligations. Client HR data handled during an engagement is retained or deleted according to the terms agreed with that Client.
8. Your Rights & Choices
You may ask us to access, correct, or delete the Personal Information we hold about you by contacting us using the details below. We will respond within a reasonable time, subject to any legal or contractual obligations that require us to retain certain records.
9. Security
We take reasonable administrative and technical precautions to protect the information entrusted to us. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security, but we work to use commercially reasonable safeguards appropriate to the sensitivity of the data involved.
10. Children's Privacy
Our Site and Services are directed at businesses and are not intended for individuals under the age of 18. We do not knowingly collect Personal Information from children.
11. Links to Other Sites
Our Site may link to third-party websites. We are not responsible for the privacy practices or content of those sites, and encourage you to review their policies directly.
